§1 General provisions
 
1. These regulations define the rules of participation in the ENTER 2025 eTourism conference, hereinafter referred to as Conference.
2. The Conference will be held on 18-22 February 2025 in the Wrocław WSB Merito University, located at Fabryczna Street 29/31, 53-609 Wrocław, Poland.
3. The Organizer of the Conference is: Wrocław WSB Merito University.
4. A Participant of the Conference is a person who has reported his/her participation in the Conference on the terms set out in these Regulations.
5. The schedule and program of the Conference are available at https://ifitt.net/
6. The official language of the Conference is English.
7. Each dates are given in local time (time zone: Poland, Warsaw).
8. The Organizer is eligible to make changes to the program without providing reasons.
9. The Rules and Regulations are available at the official conference website with the registration system.
 
§2 Rules for participation
 
1. The registration for Participants of the Conference can be made only through the registration form available online on the official Conference website: https://ifitt.net/
2. Participation in the Conference requires a fee. To be able to participate in the Conference, the Participants are obliged to fill in the registration form and pay the accreditation fee. The accreditation fee depends on the registration type and time of the registration. The tables with prices (Registration Fees are in EUR) are available on the official website. Please make sure the payment is received within 7 days after your online registration.

3. Payments have to be done to the following account number:

or by online payment which is available during a registration process.

For the bank transfers costs are fully paid by the Participant.

4. Participation in the Conference is only possible on-site. The predicted number of participants is 350 people.
5. Anyone who has a status of IFITT member qualifies for the IFITT Member registration. The same situation is with Student/Studenf IFITT Member. Falsely stated information entitles the organizers to cancel the reservation.
6. PhD and the IFITT workshop authorizes to attend the conference on February 18th 2025.
7. The accompanying person has a possibility to participate in the Conference’s accompanying events (welcome reception, conference dinner and sightseeing tour) only by being registered together with a Conference participant. The fee for this type of participation is 200 euro.
8. During the registration, an applicant should enter the following data into the registration form:
• name and surname, title (not obligatory), country, e-mail address, phone number, dietary restrictions, special requirements (if needed), name and surname of the accompanying person (if needed),
• social event choices,
• data required for invoicing purposes,
• consent for the processing of personal data by the Organizer in compliance with the enclosed declarations.
9. Completion of registration is confirmed by an e-mail sent to the e-mail address indicated in the form. The message also includes payment information. The registration is fully completed only if the payment is successful.

11. Registration fee includes:

12. Delegate badge is also included. Only a person who demonstrates the personal badge will be able to attend the conference and get permission to the Conference venue.
13. If you want to use Early Bird price you have to register and pay maximum till 15.12.2024.
14. Due to the limited availability of places, the Organizer reserves the right to close the registration if the maximum number of Participants has been reached.
15. The Organizer has the right to cancel the accompanying events because of the not enough participants or the force majeure.
16. The Payer (the recipient of the invoice) is the entity indicated by the Participant in the registration form.
17. By paying the fee the Participant authorizes the Organizer to issue an invoice and send it only to the e-mail address provided in the registration form.
18. When paying the conference fee by bank transfer, cancellation is possible within 14 days of making payment. In this situation, we refund 50% of the paid funds.
19. When paying by card using the online payment gateway, cancellation is possible: within 14 days of making payment.
20. Returns on dates later than those in items - refunds will be at the discretion of the Organising Committee.
21. No payment for participation in the Conference on the date specified by the Organizer entitles the Organizer to cancel the participation application, without incurring any liability for damages.
22. In the registration form, there is a dedicated field for people with disabilities which asks about their special requirements (comments sector).

§3 Final Provisions
 
1. The Organizer is not responsible for Participants’ belongings that have been lost, damaged or stolen during the Conference.
2. Each Participant of the Conference bears full financial responsibility for the damage s/he has caused during the Conference.
3. The Organizer is not liable for damage caused to the Participant as a consequence of the force majeure. Force majeure is understood as an event or combination of events or circumstances, independent of the Organizer, which generally hamper or prevent the Organizer's obligations and which the Organizer could not have predicted or prevented or overcome by acting with due diligence.
4. The Organizer reserves the right to change the date or cancel the Conference for reasons beyond their control. If the event of the Conference being cancelled, the Organizer will refund the entire fee paid by the Participant to the bank account which was used to make a payment.
5. The Organizer reserves the right to change the format of the conference to online event, if the situation will not allow to hold the event stationary. The entire procedure and all of possibilities will be presented to registered participants if the situation arises.
6. The Organizer does not cover the costs which are not mentioned in the Registration fees cover.
7. The Organizer has the exclusive right to a binding interpretation of the Regulations.
8. These Regulations shall enter into force upon acceptance.
9. The Conference Participant, in accordance with Article 81 paragraph 1 of the Act of February 4, 1994 on copyright and related rights (Journal of Laws, 2019, item 1231 as amended) agrees to the free and noncommercial dissemination by the Organiser (or on the Organiser’s behalf) of the Participant’s image recorded in connection with the participation in the Conference in any available form, including photography and film, without territorial or time restrictions, within the following fields of exploitation: copying, reproduction, dissemination, lending for use, and broadcasting, including via the Internet.
 
§4 Personal data protection
1. Agreement clause:
I agree to the processing of my personal data included in the registration form for the purpose and scope necessary to organize the ENTER 2025 eTourism conference, held in Wrocław on 18-22 February, 2025, by Wrocław WSB Merito University, Wrocław, Poland, located at Fabryczna Street 29/31, 53-609 Wrocław, Poland.
2. Information clause:

• The processor of your personal data is Convention Bureau – Wrocław with the headquarters in Wrocław, Wystawowa Street 1, 51-618, Poland, District Court in Wrocław-Fabryczna, VI Economic Department of the National Court Register, KRS: 0000139886;
• The subprocessor of your data is Netventure Sp. z o.o., ul. Ojcowska 3 02-918 Warszawa, NIP: 521-35-53-406
REGON: 142229497.
• Your personal data will be processed in order to organize the ENTER 2025 eTourism conference according to Art. 6 section 1 point a of the General Data Protection Regulation of April 27, 2016;
• The recipients of your personal data will be: event Organizer, event producer and a company providing the registration system necessary to conduct the registration process for the conference;
• Your personal data will be kept for the period of preparation, implementation and evaluation of the Enter 2025 eTourism conference;
• You have the right to access your data and the right to rectify, delete, limit processing, the right to data transfer, the right to object, the right to withdraw consent at any time without affecting the legality of processing, which was made on consent before its withdrawal;
• You have the right to file a complaint with the President of UODO when you feel that the processing of your personal data regarding you violates the provisions of the General Data Protection Regulation of 27 April 2016.

Procedure for using the website
§ 1 General provisions

⦁    These Terms and Conditions are established pursuant to Article 8(1)(1) of the Act of 18 July 2002 on the provision of services by electronic means.
⦁    These Terms and Conditions set out the rights and obligations of persons using the Website for participants in the Event: ENTER 2025 Conference , hereinafter referred to as the Service.
⦁    The terms used in these Terms and Conditions shall mean:
⦁    University - WSB Merito University of Wrocław, with its seat in Wrocław, at ul. Fabryczna 29-31, postcode: 53-609, entered in the register of non-public higher education institutions kept by the Minister of Science and Higher Education under no. "146";
⦁    Service User - a person using the service referred to in these Terms and Conditions;
⦁    Terms and Conditions - this document setting out the terms and conditions for the use of the service.

§ 2 Services provided electronically

⦁    In order to use the Website, you must register with the Website and accept the Terms and Conditions of the Service.
⦁    The Service enables the Service User to do the following (electronically provided services):
⦁    Making payments.
⦁    In order to use the Service, the Service User should meet the following technical requirements:
⦁    Have access to the internet;
⦁    A web browser meeting the following requirements is required for the proper operation of the System via the Internet: - support for TLS encryption protocol version 1.0 - JavaScript enabled - encoding of Polish characters set to automatic or Latin2 (ISO8859-2) Recommended browsers: - Internet Explorer - Mozilla Firefox - Google Chrome - Opera - Safari
⦁    The Agreement for the provision of services available within the Service is concluded at the moment of acceptance of the Terms and Conditions by the Service User. The Agreement is concluded for the duration of the Service User's status as a student or postgraduate participant.
⦁    The service referred to in § 2 sec. 2 item 2 of the Terms and Conditions is provided by Autopay Spółka Akcyjna with its registered office in Sopot, ul. Powstańców Warszawy 6, entered in the register of entrepreneurs kept by the District Court for Gdańsk-North in Gdańsk, 8th Commercial Division of the National Court Register under KRS number 0000320590, NIP 585-13-51-185, Regon 191781561, with the share capital of PLN 2,000,000 (fully paid up), supervised by the Polish Financial Supervision Authority and entered in the register of national payment institutions under number IP17/2013.
⦁    The following forms of payment are available for the service referred to in § 2.2.2 of the Terms and Conditions:
⦁    Visa,
⦁    MasterCard,
⦁    Blik
⦁    Pay-By-Link
⦁    If a refund is required for a transaction made by a Service User with a payment card, the University will make the refund to the bank account assigned to the Service User's payment card.

§ 3 Rights and obligations of the Service User

⦁    The User of the Service should read the Terms and Conditions each time before using the services.
⦁    The User of the Service is obliged to protect and not to make their account access data available to third parties.
⦁    The User of the Service may not upload to their account information that:
⦁    is unlawful;
⦁    is untrue;
⦁    is not compliant with good morals or ethics or are grossly detrimental to the interests of the University;
⦁    infringes copyright or other intellectual property rights, as well as the right of publicity of others.
⦁    The User of the Service is liable for any breach of the above rules.
 
§ 4 Complaint procedure

⦁    The user of the Service may lodge a complaint about a malfunction of the Service by contacting the Bursar's Office: E-mail: ⦁    kwestura@wroclaw.merito.pl , Tel: +48 71 356 16 58
⦁    In the complaint, the Service User should provide their name, surname, e-mail address and a description of the malfunctioning of the Service.
⦁    The University will consider the complaint within 14 working days of receipt and will inform the Service User via email of the outcome of the complaint. The University may request additional information from the Service User that is needed to consider the complaint, in which case the time for the Service User to provide additional information will extend the time for consideration of the complaint.
§ 5 Final provisions

⦁    The University has the right to amend the Terms and Conditions for important reasons, in particular in the cases as follows:
⦁    fulfilment of an obligation arising from a final court decision or a decision by administrative authorities;
⦁    an amendment of the Terms and Conditions is necessary due to a change of generally applicable law or due to the recognition of a provision of the Terms and Conditions as unlawful - accordingly in this respect;
⦁    making changes to the functioning of the Site, including those related to technical or technological developments, including changes to the IT systems associated with the functioning of the Website;
⦁    for security reasons, including the prevention of using the Service in a manner contrary to the law or the Terms and Conditions.
⦁    In the event of changes to the Terms and Conditions, Service Users with a Service account will be informed of the change to the Terms and Conditions via a message on the Service at least 7 days in advance.
⦁    The Terms and Conditions are effective as of 26.10.2020.
